Job Description

The Procurement Assistant is responsible for sourcing, purchasing, and managing the inventory of materials required for interior fit-outs and painting projects. The role ensures that all materials are available on time, in the right quantity and quality, while maintaining optimal stock levels to avoid overstocking or shortages. The officer also works closely with suppliers, project teams, and other departments to ensure smooth operations and cost efficiency.
Key Responsibilities:
-Identify and source materials, tools, and equipment required for projects.
-Negotiate with suppliers for the best pricing, terms, and delivery schedules.
-Develop and maintain relationships with reliable suppliers to ensure consistent quality and availability of materials.
-Research and procure hard-to-source or imported materials as needed.
-Track and ensure timely delivery of materials to project sites or warehouses.
-Monitor stock levels in the warehouse and maintain inventory accuracy through regular updates and physical audits.
-Set and maintain reorder levels to avoid stock shortages or overstocking.
-Implement and manage an inventory tracking system using software or tools to ensure efficient stock monitoring.
-Create and update inventory records, including item descriptions, quantities, and locations.
-Handle stock adjustments for damaged, expired, or returned materials.
-Collaborate with Sales and project teams to forecast material needs based on project schedules.
-Review and compare supplier quotes to ensure cost efficiency without compromising quality.
-Inspect delivered materials to confirm they meet project specifications and quality standards.
-Maintain accurate records of purchase orders, invoices, and payment schedules.
Qualifications:
Age: Preferred age range of 28 to 38 years old.
Experience: 2-3 years of experience in procurement or inventory management, ideally in the construction or interior fit-out industry.
Skills:
Strong negotiation and communication skills.
Proficiency in inventory management software and MS Office applications.
Detail-oriented with excellent organizational abilities.
Knowledge of construction materials and tools is an advantage.
